Pre-Enrolment Privacy Notice

Personal Information Collection:

ACE Community Colleges collects personal information in order to administer training and assessment programmes and services in accordance with national standards and to satisfy Commonwealth and State information collection and reporting requirements (Specified below). Personal Information collected may also be used to facilitate communications, financial transactions and other administrative operations, for quality assurance purposes and in relation to the provision of support services. Please refer to the ACE Student Handbook, or to our Privacy Policy, for further information. Please also not the following:

1. ACE Community Colleges does not profit from the use or disclosure of personal information.

2. Personal Information will not be used for marketing/promotional purposes without written consent.

3. Personal Information is held securely and disclosed only to trusted third parties for legitimate purposes.

Personal Information Disclosure Obligations:

Commonwealth Data Provision Requirements (2012) oblige all Registered Training Organisations to collect relevant personal information about individuals enrolling in nationally recognised training programmes and to disclose that information in accordance with the National VET Data Policy, to the following entities for statistical, administrative, regulator and research purposes:

1. National Centre for Vocational Education Research (NCVER)

2. Other Commonwealth and State or Territory government departments and authorised agencies.

Personal information disclosed in this context includes information provided in enrolment applications and training activity data (including training undertaken, outcomes and awards). Personal information disclosed to NCVER may be used or disclosed by NCVER for the following specific purposes:

1. Populating Authenticated VET transcripts

2. Facilitating statistics and research relating to education (including surveys and data linkage)

3. Pre-populating RTO student enrolment forms

4. Interpreting how the VET market operates (for policy workforce planning and consumer information)

5. Administering VET (including programme administration, regulation, monitoring and evaluation)

Students may be invited to participate in surveys administered by a government department or NCVER employee, agent or third party contractor (or other authorised agency) Surveys may be conducted for the purpose of obtaining feedback on training received, employment outcomes, goals, aspirations and like. Participation is voluntary and students may elect to opt out of the survey at the time of being contacted.

NCVER is required to collect, hold, use and disclose personal information in accordance with the Privacy Act 1998 (Cth), the National VET Data Policy and with all relevant NCVER policies and protocols (including those published on its website at www.ncver.edu.au

The following third parties may also be entitled to access your personal information for approved purposes:

1. Your employer (if you are enrolled in training paid for by your employer)

2.Your school (if you are a secondary student undertaking a school based apprenticeship or traineeship)

3.Third party training providers engaged to deliver specified course components (if applicable)

The ACE Community Colleges Student Handbook identifies the rights and obligations of students

participating in training programmes offered by the organisation. By signing this declaration, you

acknowledge that you have been provided with a copy of the Student Handbook, that you understand

and accept the statements made therein concerning those rights and obligations, and that

you agree to abide by all reasonable requirements of the organisation as specified in that

document and in the following statements:

Confidentiality:

I understand that accessing, copying, removing, disclosing or using confidential information without

first obtaining all necessary permissions is against the law and may result in my being prosecuted

Intellectual Property:

I understand that acts of plagiarism (passing off the work of others as one’s own) constitute

academic misconduct which may result in a sanction being imposed by the organisation, up to and

including the termination of an enrolment and/or cancellation of an award. I further understand that,

where the work of others is protected by copyright, it is illegal for me to reproduce or disseminate

that material without obtaining prior permission, or to use copyright-protected software in any way

which violates the licence agreement governing its use, and that infringements in this regard may be

prosecuted under the Copyright Act 1968. As such, I agree to conform to the requirements of the

organisation as follows:

I will respect the intellectual property of, and the terms of licences held by, ACE Community

Colleges and its various stakeholders and will act responsibly and in good faith at all times such

that these are not infringed as a result of my actions. This extends to all course materials, the

software I have access to in the course of my studies and the work of my fellow students.

I will ensure that the work I produce in the course of my studies is entirely my own other than that

which I have properly attributed to its true author/source or that which is the result of a formal

collaboration authorised by my assessor. Further, I will be mindful not to misrepresent the work,

perspectives or ideas of others in the submissions I make.

requirements and that non-compliance with this requirement may result in a sanction being imposed

by the organisation, up to and including the termination of an enrolment, and/or prosecution under

relevant laws. As such, I agree to conform to the requirements of the organisation as follows:

I will respect the property of, and facilities offered by, ACE Community Colleges, and all rules

governing the access and use thereof, and will act responsibly and in good faith at all times to

the extent that the organisation’s property and facilities are not damaged or compromised as a

result of my actions. This extends to all computer hardware and electronic devices to which I

have access and to all software and electronic resources I am permitted to use.

I will not install software on any of the organisation’s computers, including application software

of any kind, without the knowledge and consent of my trainer or college management; nor will I

use or install unlicensed software under any circumstances.

I will not download content from any website without the express permission of my trainer. I will

not access, or seek to access, any website with a bad reputation, which poses a security risk or

which hosts content not likely to be acceptable to the organisation. Where I am unsure in this
